10.33 comes with even more improvements. Dive in to discover everything that’s new!
1. Add Breaks within Clinician’s Schedules
a. You can now add up to 3 break times to a Clinician’s Schedule directly in the Production Calendar.
- Break hours will appear as non-working hours in the Diary and will be excluded from Find Slot, the Online Appointment Portal and the Appointment Analysis Report.
2. Ability to Edit Clinician’s Schedules from the Diary
a. FOH staff can now mark a clinician as unavailable directly from the Diary, without heading into the Production Calendar. For a specific date, you can quickly edit a clinician’s schedule by hovering over the Surgery header to manage availability, breaks, and start/end times in one place.
- Click the pencil icon next to the clinician’s schedule to make edits.
- Making edits this way will automatically create a date template for that clinician for the particular date, which can be viewed in the Production Calendar.
3. Enhanced Patient Tracker for Better Appointment Status Management
We have completely revamped the Patient Tracker to give you more control and visibility over your patient flow.
a. Use the brand-new Patient Tracker Compressed View to see a quick overview of patients under an appointment status displayed across the system. Appointment Status chips will be displayed at the top for easy access.
b. You can Disable or Enable the new Display Patient Tracker Compressed View toggle in User Settings.
-
In the Tracker Settings tab under Practice Settings → Patient Tracker, you can now configure the Patient Tracker Compressed View by selecting the exact statuses you want to display.
- The order of the status chips displayed at the top is determined by the order configured in Practice Settings → Diary → Appointment Status.
- The Upcoming Arrivals chip helps you track expected patient arrivals by automatically grouping all appointments that have a configured Pre-Arrival Status.
- Pre-Arrival statuses can be grouped using the Appointment Status Group option under Practice Settings → Diary → General Settings.
| Note: As part of this feature release, this configuration is automatically set up for your practice. No immediate action is required, but you can review and adjust them anytime as needed. |
- Clicking a Status chip shows detailed appointment cards, organised by appointment time, along with Pending Actions.
- A visual indicator appears on the status chip when a threshold is exceeded, automatically prioritising these appointments at the top of your list.
- Users can effortlessly change a patient's status by simply dragging and dropping their appointment card to the intended status.
- On clicking an appointment card, you can take relevant actions, which upon selection will guide you to the relevant action page.
c. Clicking the Patient Tracker icon opens the Patient Tracker Expanded View, where you can view and manage patients in the following statuses: Upcoming Arrivals, In Practice, and Checked Out.
1. Single Continuous Draw Type for Multi-Surface Filling & Decay
a. Multi-surface tooth fillings and decay now chart as a single, continuous draw type across both the Chart and CodeStack. Previously, decay and filling draw types appeared as separate draw type entries despite being a single code.
- The existing left-click followed by right-click workflow now consistently produces a single, continuous draw type.
2. Track Treatment Plans by Location
a. A new location dropdown has been added to the Treatment Plan. By default, the practice user’s logged-in location is selected, with the dropdown prefilled with the user’s authorised locations.
- You can choose a different location from the available options.
1. NHS Orthodontic Workflow Gets Smarter
a. To set up a practice to work with UOA (Units of Orthodontic Activity), navigate to the NHS Centre > Contracts tab.
- UDA / UOA Target & Value fields are now available on all contracts.
- Each contract must include a UDA or UOA value, or both. This means a practice can deliver all treatments using the same contract setup.
b. A new NHS Orthodontic Treatment workflow has been introduced to support ortho treatment assessment and completion claims for Units of Orthodontic activity (UOA).
- Practices can now configure orthodontic procedures by setting them as Available for NHS and assigning them to an NHS Treatment category under Orthodontic Treatments.
- Other existing NHS procedures remain under General Treatments.
-
On the Chart, orthodontic procedures can be added to the treatment plan. Now when you Submit the Claim instead of the standard NHS claim, you will see two options:
- Assessment Claim
- Completion Claim
c. We have also introduced an Ortho Claims (UOA) tab under Claims (NHS Centre) to manage Assessment Claims and Completion Claims.
1. Quickly Navigate to the Relevant Treatment Plan from Notifications
a. Users can now click the Treatment Plan Notification, which will redirect them directly to the specific treatment plan that was signed or rejected from the Patient Portal.
2. Enhancements to the Online Appointment List
a. The Preferred Time is now clickable on any Online Appointment to view its specific slot in the Diary. This applies to both scheduled and requested appointments, and you can still use ‘View in Diary’ from the three-dot menu.
b. You can now click Patient names for directly scheduled and requested online appointments to quickly view patient details in the Patient Snapshot. For requested appointments, only existing patients are clickable, as new patients are created after booking.
c. In the Appointment Message section you can now filter messages by Received Time or Preferred Appointment Time (earliest or within a date range) to quickly prioritise follow-ups.
d. Enhanced slot availability logic now supports non-standard appointment times, ensuring valid slots are no longer skipped. All available time slots that fit the production type’s duration will be displayed even if they start at non-standard intervals.
1. Manage Unread Text Messages
a. Mark Text Messages as Unread: Practices can now mark recent text messages as unread, from existing patients in the Communication Hub using the ‘Mark as Unread’ option.
1. Financial Close Out: Automation & Permission Updates
a. Introducing Automated Close-Out, to help practices protect financial data by automatically processing a Close-Out for transactions after a set period of time. You can configure it at the location level, and super admins can override it when needed and manually finalise transactions as usual.
b. When a closeout is initiated, it will be in Pending status. You can use the new permissions to edit or check out procedure codes during a pending close-out. This access can be assigned to specific roles under Profiles → Manage Permissions.
c. The permission for Override Pending Close Out has been separated from the Finalise/Reject Close Out permission. This change enables users to take action on a pending close-out without needing to finalise or reject it.
2. Invoice Branding Now Reflects Treatment Location
a. Invoice Branding is now linked to the location where the treatment was originally performed, rather than the user’s checked-in location, ensuring clarity during printing.
- Invoices are generated and grouped by date and treatment location for a patient, with separate invoices created for each location. Codes completed on the same date at the same location will be combined into a single invoice.
3. Apply Adjustments Proportionally Across Codes
- Previously, only percentage-based adjustments could be distributed evenly. Now, you can use the Distribute Proportionally option to apply amount-based adjustments across multiple treatment codes, ensuring they are evenly allocated even when treatments involve multiple clinicians.
4. Enhancements to Transaction Charges
a. Unadjusted Transaction Charges has been renamed to Unapplied Transaction Charges.
b. You can now Edit Transaction Charges directly on the Add New Payment/Adj. Page.
c. Previously, transaction charges were applied oldest-first or newest-first and assigned entirely to a single clinician. Now, transaction charges are proportionately distributed across all relevant procedure codes and clinicians.
- If Third-Party Financing covers the full amount, the charge is split equally across all codes.
- For partial coverage, it can be allocated to selected or all applicable codes, based on the chosen method.
- When only part of a treatment plan is checked out, charges apply only to the completed procedure codes, and the remaining portion is carried forward for future allocation.
d. A new Transaction Charges tab has been added to the receipt pop-up, allowing users to View, Edit, and Reverse charges.
e. Refunds now include transaction charges, which were previously excluded. For Partial Refunds, charges can be edited.
f. The Unapplied Transaction Charges chip now turns blue when the amount is £0.00 in Receipt Details and stays red for amounts above £0.00.
g. We have enhanced Refund descriptions to include transaction charges for more clarity.
h. Full reversal of receipts initiated from the All Payments Page or Ledger now includes both the Deposit Amount and Transaction Charges. Previously, only the deposit amount was reversed.
1. Enhanced Hygiene Visit Tracking in Insights
- The Insights Settings now allow users to configure and choose whether hygiene visits are determined by codes or production type. Previously, hygiene visits could only be defined based on selected hygiene codes.
2. Run Last Month’s Reports with Previous Month Filter
- Run reports for the full previous month with a single click. Saved filters also dynamically update each month.
3. New Quick Links Added to the Reports
- Quick link options such as Yesterday, Day Before Yesterday, and End of Previous Month have been added to the Aging Report, with saved filters automatically updating each time the report is generated.
- We have also introduced quick links for 'as of date' reports like Aging, Unapplied Credit Balance and Production and Collection.
- We have brought the previous month quick link across report to enable easy selection of the last calendar month, and for use in saved filters.
