In CareStack, NHS Contracts are a central feature for UK dental practices operating under GDS (General Dental Services) or PDS (Personal Dental Services) agreements with the NHS.

To access the NHS Contracts,
- Navigate to the System Menu > select NHS Centre under Billing.
- Select Contracts.
Add a Contract
To add a contract to the system,
Click + Add Contract.
On the NHS Contract slide-out, enter the required details, such as
- Name: Enter the contract name.
- Contract Number: Enter the contract ID exactly as stated in the NHS agreement.
- UDA Target & Value: The UDA value in the contracts can be used for regular NHS contract or orthodontic contracts.
- UOA Target & Value: The UOA value in the contracts makes it an orthodontic contract.
Note: It is mandatory to provide either UDA Target & Value or UOA Target & Value.
- Start Date: Select the date when the contract becomes active.
- Notes: Add any additional notes if needed.
- Site: Select the site where the contract applies.
- Location Linked: Choose the location where the contract is assigned.
- Select the checkboxes for the following options as needed.
- Set Contract as Active
- PDS Plus
- Roll Over Contract
- Expiry Date
- Click Save.
- A toast notification will appear on the top right stating, 'Contract Created Successfully'.
To edit the added Contract,
Click Modify Contract.
On the NHS Contract slide-out,
- Make the desired changes.
- Click Save.
- A toast notification will appear on the top right stating, 'Contract Updated Successfully'.
To Set Targets against each Clinician,
Click Set Targets on the corresponding contract.
- On the UDA/UOA Targets slide-out, enter the desired values.
- Click Update Targets.
- A toast notification will appear on the top right stating, 'Targets updated successfully'.
Overview of the Contracts Grid
On the Contracts tab,
- You can filter and view the list using Locations.
- Select the desired Location(s).
- Click Apply.
- Based on the Locations selected, you can view the details listed in the grid such as Contract Name, Contract ID, Start Date, End Date, Target, Unallocated Targets, Locations, Status (Active & Inactive) and Actions.
- Based on the selected Locations, the grid shows the following contract details:
- Contract: Shows the contract name.
- Contract ID: Lists the ID agreed in the NHS contract.
- Start Date: Indicates when the contract becomes active.
- End Date: Reflects the date automatically set to one year from the Start Date.
- Target: Outlines the target UDAs allocated as per the NHS contract. Contracts with a non-zero UOA value will be highlighted in purple under the Target column.
- Unallocated Target: Shows the remaining number of UDAs yet to be allocated to clinician set targets.
- Location: Identifies where the contract applies.
- Status: Shows whether the contract is Active or Inactive. The dropdown filter defaults to Active contracts, but you can change it as needed.
- Actions: Provides options to Set Targets or Modify Contracts.
- You can filter and view the list using the Status filter.
- Click the drop-down menu.
- Select All, Active or Inactive as required.
- Click Apply.
Mark a Contract as Inactive
If you wish to mark a contract as inactive, expired or would like to delete a contract, it can be done by marking it as inactive.
- On the Contracts grid, select Modify Contract for the desired contract.
- Deselect the Set Contract as Active checkbox.
- Click Save.
