| Note: Localisation and trim-down work is in progress and is planned to be completed as part of the March release. |
2. Default Treatment Plan Agreements by Location
a. Multi-location practices can now set a unique default Treatment Plan Agreement for each location, replacing the existing account-wide agreement. This eliminates the need to manually select templates, ensuring consistent documentation across all locations.
To set it up, navigate to Practice Settings → Locations → Print Settings and toggle the default from Account to Location. Simply select your preferred agreement from the list and click Save.
1. View the Claims Status History
a. Click the new Status History icon to view a detailed status history for claims in the NHS Centre.
The Claim Status History view shows how a claim progressed through each status, including the date and time of each change and the user who triggered it. Statuses are displayed in reverse chronological order.
2. Identify the NHS Clinician from the Clinician Dropdown
a. The Clinician dropdown now clearly shows which clinicians are not currently marked as NHS.
- They are now labelled as Non-NHS to avoid confusion when a clinician’s status changes between NHS and Non-NHS.
1. Stripe Refund and Partial Refund Processing Now Available
a. CareStack now supports full and partial refunds for Stripe payments directly within the platform.
- Previously, refunds required staff to log into the Stripe Dashboard, involving extra clicks, context switching, and increasing the risk of errors.
- With this release, refund and partial refund workflows are fully integrated into CareStack, allowing staff to initiate and manage refunds in one place, with all actions automatically synced to Stripe.
1. Send Emails without a Configured Mailbox
You can now send emails even if the location has no configured mailbox, with clear visibility into which email ID is used, to avoid confusion or blocked workflows.
Display Logic and Behaviour
| Case | ‘From’ Field Display | Subtext/Info Message |
| Mailbox configured for location | Dropdown appears showing the mailbox Email ID. | No subtext or banner displayed |
| No mailbox, but location email available | Shows: locationemail@domain.com (Location Name) | ‘This email is used because the location has no mailbox configured.’ |
| No mailbox and no location email | Shows: noreply@domain.com (Location Name) | ‘No mailbox or location email found. Patients will not be able to reply to this email.’ |
| Mailbox configured, but selected mailbox belongs to another location | Shows the selected mailbox address | Info Banner: ‘The selected mailbox is not linked to your current location. Please select the appropriate mailbox if this was not intended.’ |
2. Enhanced Duplicate Patient Check
The Duplicate Patient Check has been improved to ensure a more efficient patient and non-patient record management. Potential duplicates are now identified in real time during record creation and updates.
What’s New
- Real-time duplicate detection within the add/edit modal.
-
Matches are identified using:
- First and last name combined with date of birth, or
- Driver’s license.
- Email is excluded to reduce unnecessary alerts for shared family email addresses.
When a match is found
-
Click View to:
- Bypass the match and create a new patient record.
- Schedule an appointment for the matched patient (convert non-patients if needed).
- Access the Profile Overview.
1. Enhanced Document Processing
a. We have upgraded the way Documents are saved to keep you moving faster. You can now continue working in the system while larger files process in the background.
- Smaller files will pop open in a new tab instantly for quick printing or downloading.
- If a document takes longer than 3 seconds, it will continue to process in a separate tab so you can navigate the system and finish other tasks immediately.
- When a large file is finished, a notification will pop up: ‘<Document_Name> of <Patient_Name> is now available.’
- On the Patient Documents page, you will see files marked as ‘Processing’ until they are completed.
2. Control Sharing of Forms and Letters to the Patient Portal
a. You can now prevent incomplete forms and letters requiring patient signatures from being automatically shared to the Patient Portal by enabling the newly added Form setting. This gives you more control and ensures documents are not shared with patients before they are finalised.
When enabled, practices can manually share documents to the Patient Portal from the Patient Documents page.
3. Enhanced Print Consistency for Forms and Letters
Print formatting for ‘Forms’ and ‘Letters’ has improved, ensuring styles and fonts applied to a form or letter remain intact during printing or extracting as a PDF file, making prints more reliable and consistent.
1. Explore the Treatment Tracker Report
Use the Treatment Tracker Report to view all treatments for patients who have checked out within a selected date range. It helps you follow up on unscheduled treatments and plan upcoming treatments more effectively.
