We’re pleased to share the latest updates in 10.25, aimed at making day-to-day workflows smoother and more efficient. With enhancements across Diary, Clinical, RCM, Reporting & Analytics, Patient Engagement, and Patient Services, this release brings significant improvements to support your practice.
Top highlights include:
- The All Invoices feature to view and manage all patient invoices in one place.
- Introducing Patient Survey to gather valuable patient feedback easily.
- Complete NHS FP17 forms at the Kiosk during patient check-in, with submissions auto-saved to their records.
- Treatment codes added under a phase now instantly appear in the clipboard.
- Custom Phase names are now retained when creating templates in Quick Plans or cloning Treatment Plans.
- Office Wizard now supports Word (.docx) templates, enabling uploads with dynamic fields that auto-fill patient and clinician info.
But that's not all!
- Users can now only generate reports tied to their assigned locations, enhancing data security.
- Leverage Referral Effectiveness View in Refer-in report offering key metrics, comparison filters, and grouping options to track trends and analyse performance.
- Ability to unlink appointments from lab cases with a single click.

1. Clipboard
- Treatment codes added under a phase are now dynamically reflected in the clipboard.
- When additional codes are added to the same phase, the clipboard updates automatically.
- Ensures the clipboard always reflects the current set of codes linked to a treatment phase.
2. Lab Cases
- Appointments linked to a lab case can now be easily removed. Simply click the X button next to the appointment to unlink it.
3. Appointment Slide-out
Practices can now make it mandatory to add at least one code to the appointment when an appointment is created. Practices can contact support.uk@carestack.com to enable this option.
1. Charting
- Users can now click and drag to select multiple teeth when applying treatments, such as bridges.
- Treatments can also be easily removed with a single click or by dragging to deselect.
2. Quick Plans
- In Quick Plans, the templates will retain custom phase names when a treatment plan is saved and reused.
- This will be displayed consistently whenever the template is applied in the future.
3. Treatment Plan
- Custom phase names are now retained when cloning a treatment plan.
- Users can now mark a Treatment Plan as Hold, even if it includes completed codes.
1. Location Restrictions
- CareStack now enforces user location restrictions on Payments and other RCM areas.
- This also applies to Operational Reports, where users will see reporting data only for the locations they are authorised to access. Screens with location dropdowns will display only the user’s assigned locations.
1. All Invoices
The All Invoices page allows you to view and manage invoices for all patients in one place.
- Filter invoices by Invoice Date, Clinician, and Location.
- View the invoices under their allowed location(s).
- See all invoices or only those tagged to the clinician, depending on the configured permissions.
- View the Total Unpaid Invoice Amount or the breakdown of unpaid amounts for different aging buckets.
- Hide invoices without outstanding balances.
- Print one or more invoices for a single patient.
- Select the Invoice ID to view detailed information and make a payment.
1. Operational Reports
- In the Operational Reports > Settings, we have two new setup options to configure how Patient Visits and Hygiene Visits are calculated.
- Practices can now define what counts as a patient visit by choosing between Code Completion, Checked-Out Appointments, or Both. They can also exclude specific codes for more accurate data.
- Hygiene Codes are configurable as well. Practices can select which codes count toward hygiene visits.
- Based on the configured KPIs, the calculations for patient visits and hygiene visits will be affected. These updated metrics are accessible under the Performance tab on the Homepage.
2. Refer In Report
- To gain deeper insights into the referral performance, we have introduced the Referral Effectiveness View to help practices analyse key metrics such as production, patient volume, and collections over a specific time period, and compare them to previous periods. You can group the data by referral source, location, or referral subcategory, and quickly view:
- The count of patients from each referral source.
- The production and collection associated with those referrals.
- The percentage contribution of each referral category.
- The newly introduced Compare Performance filter for Previous Period and Previous Year lets practices track trends and understand how referral performance evolves.
- This view helps identify high-performing referral channels, uncover underperforming ones, and guide strategic decisions, whether it is reallocating marketing budgets or refining front-office processes.
3. Appointments Report

The Appointments report Detail View now includes two new columns for improved insights into cancellations or no-shows:
- Cancel/NS On: Date when the appointment was marked as cancelled or no show.
- Cancel/NS By: User who cancelled the appointment.
1. Reputation Management
Practices can now reply directly to CareStack Reviews.
Introducing the all-new Patient Survey feature as part of Reputation Management to help practices gather valuable patient feedback, enhance customer satisfaction, and improve overall operational efficiency.
- Survey Creation: Easily create surveys from scratch or use predefined templates, offering flexibility in gathering patient insights.
- Survey Customisation: Customise surveys with various question types like short answer, long answer, rating, etc.
- CSAT & NPS: Track patient satisfaction with CSAT (Customer Satisfaction Score), which measures ratings across multiple criteria, and NPS (Net Promoter Score), which gauges patient loyalty and likelihood to recommend the practice.
- Redirect to Review: Automatically redirect satisfied patients to review platforms such as Google, Facebook, or Yelp based on the NPS or CSAT scores, safeguarding and boosting the practice's online reputation.
1. Office Wizard
- Office Wizard now supports uploading Word (.docx) templates. These documents can include quick links that pull in patient, referral clinician, clinician and account data.
- Once uploaded, templates are available when adding forms to a patient and can be downloaded with the relevant information filled in automatically.
2. NHS Forms in Kiosk
- The NHS FP 17 form is now available in Patient Connect’s Kiosk Mode. Patients can complete the form during check-in, and submitted forms are automatically marked as completed and saved in the patient’s documents.
1. Referral Form
Multiple Referral Forms can be configured in Practice Settings for the required locations as needed. The referral forms can now be customised:
- Introduced options to Preview and Print referral forms.
- Enable or disable all non-mandatory questions in the existing refer-in form.
- Ability to add a custom list of Procedures/Consultations to each configured form.
- Customise the form name, and add either an Account Logo or a Custom Logo to the form.
- Added options to enable Teeth Selector.
2. Previous, Save as Draft for Refer Outs
- Users can now return to previous steps to make changes while creating a Refer-out.

Ability to save a referral as a draft and return to edit it later.
- Saved drafts can be accessed from the patient’s Referrals page.
- Utilise the edit icon next to each step on the left to go back and update its details.
- Users can preview the referral letter to see how the print will appear before signing.
3. Referral Hub Enhancements
- Ability to call the referral clinician and the referral if click-to-call (telephony) is enabled.
- Option to message or email the referral if correspondence is enabled.
- Send emails to the referral clinician if Correspondence is enabled.

On selecting a Referral:
- View referral details in the left panel with options to link an existing patient or create a new patient and book an appointment.
- View referral engagements added in the ‘Referral Engagement’ tab and referral form with attached documents in the ‘Referral Documents’ section on the right panel.
