Adding appointments in Carestack is a fundamental task for efficiently organising patient schedules and maintaining a smooth workflow within the practice. Reserving a slot is the first step in booking an appointment. Let's get started!

Perform the steps below to schedule appointments.
- Select the diary.
- Click & drag on an available Slot.
An appointment details slide-out will appear.
- Search for and select an existing Patient or click Create New Patient.
If you search and select an existing Patient, you will be able to find the patient details on the left-hand side of the appointment slide-out, such as,
- Patient card with Patient Name, Patient ID, Email, Phone Number and other details.
- Followed by Default Dentist, Hygienist, Location and Payor.
- Medical Alerts with Conditions, Allergies and Medications.
- Pending Action Items with the Medical History Signature Pending form that opens in a new tab from the appointment slide-out, preserving the current appointment context and other pending actions.
- Membership Plans and Payment Summary.

The Payment Summary will show the current Patient Balance, Total Balance, Account Balance, and Account Unapplied Credits, if any.
- The Text to Pay button will open the Text to Pay modal.
- Click Pay Now to proceed to the Add New Payment slide-out.
In the Appointment Details,
- The Surgery, Date, and Start to End Time will be pre-populated based on the surgery settings and the selected time slot.
- Choose the desired Production Type. Click here to learn how to configure production types.
- Click + Add Clinician to add multiple Clinicians.
- If multiple Clinicians are assigned to a Surgery, you will need to select the appropriate Clinician from the drop-down menu.
- When selecting a Clinician, you will find all inactive Clinicians listed at the bottom and cannot be chosen.
- When multiple Clinicians are assigned, you can manage the timing for each Clinician by selecting the specific time slots.
- Select the checkbox corresponding to the Time-Slots to check or uncheck all time slots at once.
- Click the Confirm or Cancel button to confirm or discard the actions respectively.

Set Short Call: If set to Yes, the patient will be added to the Short Call List, and a Preferred Slot text box will appear where you can enter the preferred slot for the short call.
- The practice can book an early slot, if available, for the patients in the short call list.
In the Appointment Status & Notes, you have the option to add Appointment Flags and Notes.
- Enter any notes related to the appointment, if required and click + Add Note.
- Check the Copy to Patient Memo box to copy the notes onto the Patient Memo, if needed.
To link Recall(s) of the selected patient to this appointment:
- Click Link Recall.
- Select the required Recall(s).
- You can see the recall status on the right, such as Unscheduled and Overdue.
- Click Link to Appointment.
- The recall codes of the linked recall will be reflected on the patient's Chart.
- Click Book Appointment to book the slot for the patient.
- A toast notification will appear on the top right stating, 'Appointment booked successfully'.

Global Print
To Print the scheduled appointments.
- Click the Print icon.
- Select the desired criteria on the Print modal.
- Filter by
- Print in
- Location
- Clinician
- Date
- Time
- Click Print.
- In the Print version, you will see the scheduled appointments based on the chosen criteria.
Note: Each appointment displays the Patient Name, ID, Appointment Flag, Age, DOB, Clinician Name, Patient Phone Number, and Production Type. |
