There may be a number of reasons why you would want to write off the patient's outstanding balances and bring the account balance down to zero. Maybe the patient is being tagged as bankrupt, maybe the balances are being sent to collections, maybe this is a duplicate patient profile and all of the necessary treatments and charges were copied over to the correct profile.
If you would like to write off all of the patient's current balances, choose one of the touchpoints below and follow the steps provided:
Left-click the appointment tile on the Diary.
- On the appointment slide-out that appears, select the Financial tab.
Or,
- Search for the intended patient in the Global Search Bar.
- Hover over Billing > select Payments.
- Click Write-Off Balance for the account, which would include every patient in this account.
- Select the Adjustment Code and enter the necessary Remarks.
- Click Write-Off to continue.
For Individual Patient Balances
Note: If you would like to write off the balance for a specific patient only, you will need to make adjustments to each code on which that patient has a balance. If there is only one patient on the account, then the account-level workflow detailed earlier can be used. |
- From the Payment slide-out, select the codes with balances.
- Click the ‘+’ button on the very right to add the related adjustment.
- Click Add Receipt & Apply to write-off the selected Patient's balance.
- Ensure that the Payment Amount field is zeroed out before you save the adjustment.

| Note: Users can also make use of the Add Global Adjustment option to select a common adjustment code and apply the total balance amount as the adjustment amount. |
Results
- On the patient's Ledger, you will see a new line item of the written-off adjustment that was just completed.
- Click on the line item within the ledger to Group the affected items. As soon as you click on it, you will see the linked transactions highlighted.
